Definition
Employees in this class are under general supervision. Work performed in ensuring building contracts and payments conform to established legal and procedural requirements and are expeditiously handled and performing related work as necessary.
Characteristic Duties and Responsibilities
Prepares building contracts and related documents for completion and transmittal to appropriate authorities.
Reviews agreements, contracts, and purchase orders for accuracy.
Discovers inaccuracies in agreements, contracts, purchase orders, etc., and takes action to correct same through conversations with appropriate authorities, researching records, composing and typing correspondence, etc.
Maintains files and logs regarding the various aspects of the building projects.
Assists in preparing the agenda, briefing notes, and supporting material for the State Building Commission meetings.
Schedules meetings, makes travel arrangements and reservations, types general correspondence and other items and performs general office tasks.
Performs related work as assigned.
Required Knowledge and Abilities
Knowledge of policies and procedures regarding the Tennessee Board of Regents building projects as they relate to the State Building Commission, State Architects, and contractors.
Knowledge of modern office practices, procedures, and equipment.
Knowledge of organizational functions.
Ability to organize and review contracts, records, and reports to insure compliance with established legal and procedural requirements.
Ability to discern necessary data or action and from whom it is needed.
Ability to compose memoranda or letters with only general instructions.
Ability to type accurately from plain copy and rough draft.
Ability to establish and maintain an effective working relationship with the public and other employees.
Recommended Qualifications
Applicants possessing these qualifications have a good probability for success in this class. However, applicants not possessing these qualifications should apply if they believe their training and experience will enable them to perform the work successfully. Graduation from a standard high school. Experience as a secretary.
